Types of Administrators and Permissions

In Kintone, there are largely four types of Administrators, such as administrators who configure settings across the whole Kintone, administrators for each app, and administrators for each space.

This topic explains what administrators can do and how you can specify them for each type of administrators.

Kintone Users & System Administrator

  • What Can Be Done

    Manage settings on users, security, and so on.

    Example:

    • Add/delete departments or users
    • Configure services for users to use
    • View and download audit logs
    • Configure security on login and restrict permissions
    • Issue client certificates
    • Contact support
  • Opening Kintone Users & System Administration screen
    Click the Settings button Gear icon at the upper right of the screen and click "Kintone Users & System Administration."

  • Finding/configuring Kintone Users & System Administrator
    To find who is Kintone Users & System Administrator, navigate to Kintone Users & System Administration, "User Administration" and then "Administrators". Kintone Users & System Administrator is listed in the Administrators field on the screen.

System Administrator

  • What Can Be Done
    Configure settings across the whole Kintone.

    Example:

    • Configure permissions to create apps and spaces
    • Create templates for apps and spaces
    • Manage apps and spaces
    • Apply system-wide customization in Kintone
    • Configure the Update Options setting
    • Add plug-ins
    • Edit Announcement
    • Configure Portal
  • Permissions That System Administrators Can Configure

    • Permission to manage the system
    • Permission to create apps
    • Permission to create spaces
    • Permission to create guest spaces
    • Permission to manage or view app groups
  • Opening Kintone Administration Screen
    Click the Settings button Settings button on the upper right side of the Kintone screen and then click "Kintone Administration." Image

  • Finding/Configuring System Administrators
    To find who is System Administrator, navigate to the Kintone Administration, Permissions, and then Permission Management. If there are users with the System administration permission turned on, they are System Administrators.

App Administrator

  • What Can Be Done
    Each app has its own app administrator who can change the settings for the app. You can also view a list of apps for which you have management permissions.

  • Permissions That App Administrators Can Configure

    Type of permission Description
    Permissions for App You can configure permission to manage app, permission to view/add/edit/delete records, and permission to export or import data to/from a file.
    Permissions for Records Configure the Target Records conditions to filter records and grant permissions to users who can view/edit/delete the filtered records when the conditions are met.
    Permissions for Fields You can configure view/edit permission for fields included in the app.

  • Opening App Settings Page
    Click the Settings button Settings button on the upper right side of the view of the app.
  • Finding/Configuring App Administrators
    To find who is App Administrator, select the App under the Permissions on the App Settings page. If there are users with "Manage app" permission turned on, they are App Administrators. By default, the user who created the app is assigned as the Add Administrator.
    You can also change the administrator, if necessary. For details, refer to the following page:

Space Administrator

  • What Can Be Done
    Each space has its own space administrator who can change the settings for the space.

    Example:
    • Manage members who join the space
    • Make the space private or public.
    • Enable or disable multiple threads in the space

  • Permissions That Space Administrators Can Configure
    You can configure whether you want to make your space private and available only to members.

  • Opening Space Settings Page
    Open the space, click the Options button Options button on the upper right side of the screen, and click Space Settings.

  • Finding/Configuring Space Administrator
    To find who is the Space Administrator, select the Members tab on the Space Settings screen. If there are users with "Administrator" permission turned on, they are Space Administrators. By default, the user who created the space is assigned as the space administrator.

Example of Granting Permission

  • If you want to restrict users who can create apps:

    • Grant the Create apps permission only to the users you specify.
    • System Administrators can grant the Create apps permission to users. By default, all users are allowed to create apps.

  • If you want to restrict users who can delete apps:

    • Select the users to whom you want to grant permission to delete a specific app, and then assign them as the App Administrator for the app.
    • The current App Administrators can assign users to the App Administrator. By default, the user who created the app is assigned to the App Administrator.

    If you grant the Manage app permission to users, they will be able to change the App Settings as well. Please consider this carefully before configuring the setting.

  • If you want to transfer the permission to change the App Settings to other users:

    • Select users whom you want to let configure settings for a specific app and assign them to the App Administrator.
    • The current App Administrators can assign users to the App Administrator. By default, the user who created the app is assigned to the App Administrator.

  • If you want to restrict users who can export app data to a file

    • Grant the Export to file permission only to the users whom you want to allow to perform the file export action.
    • The current app administrators can assign the Export to file permission to users. By default, the Export to file permission is granted only to the user who created the app.

  • If you want to restrict users who can add plug-ins in Kintone:

    • Grant the system administrative permission to the users whom you want to allow to add plug-ins.
    • The current system administrators can grant the System administrative permission to users.
      Assigning Kintone Administrators

    Please note that if you assign users to the System Administrator, they will be able to change the settings across Kintone system. Please consider this carefully before configuring the setting.

  • If you want to add users who can contact support:

    • Grant the Kintone Users & System administrative permission to the users whom you want to allow to create support requests.
    • The current Kintone Users & System Administrators can assign users to the Kintone Users & System Administrator.

    Please note that if you assign users to the Kintone Users & System Administrator, they will be able to add/delete users or change the current security settings. Please consider this carefully before configuring the setting.
