Setting the Activated Features

In the "Feature Activation" screen, system administrators can set whether to use the following features or not.

  • E-mail Notifications
  • Space
  • Guest Space
  • People and Private Messages
  • Legacy Feature
  • Feature in Development

This section describes the details of each setting.

E-mail Notifications

Users can receive Kintone notifications also via e-mails when the feature to send e-mail notifications is enabled.
For details on necessary settings to receive Kintone notifications via e-mails, see Enabling E-Mail Notifications by Administrators.

Default value for the receiving setting

You can set the default value whether users receive e-mail notifications or not.
When you change the default value for the receiving setting, users who are affected by the change vary according to the following conditions.

  • Users who have never changed the e-mail notifications setting in Personal Settings
    The setting after the change is applied.
  • Users who have already changed the e-mail notifications setting in Personal Settings
    The setting by the user is not changed. The value configured by the user is still effective.
  • Users added after the setting has been changed
    The value after the change is applied upon user's addition.

Users can change the value later.

If you select "Receive (Only "To Me")" in System Administration, users will receive only "To Me" notifications as e-mail notifications.
"To Me" notifications are sent to users when they are specified as recipients in comments or they are assigned as assignees for process management. The number of "To Me" notifications that a user has received is displayed on the notification icon that is located on the top of the screen. These "To Me" notifications are sent via e-mails. To receive "All" notifications, the e-mail notifications setting in Personal Settings needs to be changed.
However, if "Send me all notifications" is selected, all notifications including "To Me" notifications are sent via e-mails and thus users may receive numerous e-mails. If a large number of notifications are received in Kintone because of API execution, for example, please note that numerous e-mail notifications are also delivered.

E-mail notification format

You can select "HTML format" or "Text format" for e-mail notifications that users receive.
When you change the format of e-mail notifications, users who are affected by the change vary according to the following conditions.

  • Users who have never changed the e-mail notification format in Personal Settings
    The setting after the change is applied.
  • Users who have already changed the e-mail notification format in Personal Settings
    The setting by the user is not changed. The value configured by the user is still effective.
  • Users added after the setting has been changed
    The value after the change is applied upon user's addition.

Users can change the value later.

If you deselect "Allow users to change in their personal settings" and save the setting, users cannot select the e-mail notification format in Personal Settings.
The "E-mail Notification Format" setting that each user has selected in Personal Settings is cleared and cannot be restored.

Other settings

You can set whether to send notifications by e-mail when REST API actions are performed on Kintone.
The default value is disabled.
You may not receive some e-mail notifications if Send REST API notifications by e-mail is disabled. To receive all notifications by e-mail, you need to enable this setting.

Spaces and People

You can select whether to use Space, Guest Space, People, and Private Messages features.
Even when you deactivate Space or People, existing data is retained.
However, the notifications sent before deactivation will disappear after 70 days since they were sent.

Use Legacy Feature

You can select whether to use a legacy feature when a new screen/feature is applied by Kintone update.
The item for settings will be displayed only if the feature to switch to the legacy feature is provided.

Feature in Development

You can preview a new feature in development if you enable this setting.
The item for settings will be displayed only if the new feature in development is available to use.

Procedure

Follow the steps below to select a feature to use.

  1. Click the Settings icon Settings icon in the upper right of the Kintone screen to open Kintone Administration. Open Administration

  2. Click "Feature Activation". Screen for Feature Activation

  3. Select a feature to use.

  4. Click "Save".

Settings configured by system administrators are applied to users.
