Commenting on Records

Overview

In the comment field in an App, Space, and People, you can mention multiple recipients. When a recipient is specified, a "To Me" notification is sent to the recipient.

Recipients can be specified in the following ways:

  • Specifying users, departments, or groups as the recipient
  • Replying to Other Users' Comments

Specifying Users, Departments, or Groups as the Recipient

You can specify users, departments, or groups as the recipient.

Any user who cannot view the comment cannot be specified as the comment recipient, such as in an app with permission settings or in a private space. Likewise, if a department or group is specified as a comment recipient, only users from the department or group who can view the comment will be recipients.

How to Specify Users, Departments, or Groups as the Recipient:
  1. Click Mention or type '@' in the comment field.
  2. Enter the recipient. As you type, a list of matching potential recipients will appear. You may use any of the following information to search for a recipient:
    • If a recipient is a user:
      • Display name
      • Display name in different languages
      • Phonetic name of the user's first name and last name
      • Login name
    • If a recipient is a department:
      • Department name
      • Display name in different languages
      • Department code
    • If a recipient is a group:
      • Group name
      • Group code
    • When a department or group is specified for the recipient, you may click the specified department or group, and click Users to Be Mentioned to view the list of users that will be notified.
     
  3. Select a recipient by either using the arrow keys and "Enter" key on the keyboard, or by clicking on the recipient.
    • Note: If your PC is in Japanese input mode, pressing the "Enter" key just once may not specify the recipient. If the recipient is not specified, press the "Enter" key again.

Replying to Other Users' Comments

When you want to reply to another user's comment, click Reply or Reply to All from the comment.

When you click Reply, the user who posted the comment is specified as the recipient. When you click Reply to All, the user who posted the comment along with any other recipient users, departments, and groups for the comment are specified as the recipient.

Posting Comments to Records

Post comments to records to communicate with other users. When you post a comment to a record, the notification is sent to the user specified in the notification setting for each app.

"To Me" notifications will be sent to users if they meet one of the following:

  1. User is specified in the comment.
  2. User belongs to a group or department that was specified in the comment.
  3. The App Admin has included the user in notification settings to notify of all new comments.

Please note:

  • Users who do not have permission to view an app or record will not receive the notification.
  • If the comment feature is disabled in the app settings, you cannot post any comments.

How to Post Comments to Records:

  1. Click Screen_Shot_2018-08-14_at_2.52.44_PM.png, located on the right side of the Record Form.
  2. Enter in a comment.
  3. If necessary, specify the comment recipient.
  4. Click Post.
