Usage Example of Inactive Users

An inactive user is a user whose status is "Inactive".
By making a user status "Inactive", you can forbid the user's access temporarily.

Even if you make a user status to be "Inactive", the user's settings or information registered in kintone.com will not be deleted.
The user can be reactivated on kintone.com by reverting its status to "Active" when the user comes back.
It is recommended to set the status of users to "Inactive" for those who will not log in to kintone.com for a long period. The reasons for the absence can be a parental leave or a temporary assignment.
Deactivating Users

About Licenses Made Available with Temporary Leave or Temporary Assignment

Inactive users are not counted in the number of users who are using a service.
Therefore, after inactivating users, you can use their licenses that became available for other users.
For example, when User-S is hired after User-A temporarily left the company, you can register the account for User-S without increasing the number of licensed users.

Relationship Between Inactive Users and the Number of Licensed Users

This section takes an example of having 10 licensed users.

Example 1: You have 10 licensed users and 8 active users

In this case, you have billed for 10 users according to the number of licensed users.
You can still add two more new users.

If you want to change the subscription details, for example reducing the number of licensed users to be 8, you need to request it separately.

Example 2: You want to add three more users when the number of licensed users and active users are the same

You need to take one of the actions below since the number of active users and the number of licensed users are equally 10.

Solution 1: If you want to leave the charge unchanged (for 10 users)

Select three users out of 10 active users and make them inactive.
Then, add three new users.

Solution 2: If you can afford a higher charge

Increase the number of licensed users to be 13.

Example 3: You want to revert three inactive users to be active when the number of licensed users and active users are the same

You need to take one of the actions below since the number of active users and the number of licensed users are equally 10.

Solution 1: If you want to leave the charge unchanged (for 10 users)

Select three users out of 10 active users and make them inactive.
Then, change the status of the three users who are coming back to "Active".

Solution 2: If you can afford a higher charge

Increase the number of licensed users to be 13.
